Email List Comparison Use Cases

Email list management is one of the most common reasons people compare two lists. Here are the scenarios this tool handles:

  • CRM vs email platform — Find contacts in your CRM that aren't in Mailchimp, SendGrid, or your email tool.
  • Suppression list cleaning — Remove bounced, unsubscribed, or complained addresses from your send list.
  • Migration verification — After migrating email platforms, verify all contacts transferred successfully.
  • List deduplication — Find which emails appear in both your marketing and transactional lists.
  • Event attendees — Compare registered vs actually attended to find no-shows.

Frequently Asked Questions

How do I find emails in one list but not another?
Paste your first email list into List A and the second into List B. Click A − B to see emails that are in List A but missing from List B. Click B − A for the reverse. This is how you find unsubscribed, bounced, or missing email addresses between two systems.
Are email comparisons case-sensitive?
By default, DataMinus compares emails case-insensitively, so john@email.com and John@Email.com are treated as the same address. This is correct for email addresses since the RFC specification treats the domain part as case-insensitive and most providers also ignore case in the local part.
Can I compare my CRM export with my email platform?
Yes. Export emails from your CRM and paste into List A. Export from your email platform and paste into List B. If your data is comma-separated or tab-delimited, use the delimiter selector to match. Use A − B to find CRM contacts missing from your email platform, or A ∩ B to find contacts that exist in both.
How do I clean a suppression list?
Paste your full email list into List A and your suppression list (bounces, unsubscribes, complaints) into List B. Click A − B. The result is your clean list — all emails from A that are not on the suppression list. Copy and use as your safe-to-send list.
